Hi all,
Our payment approver went in to approve bills for payment in Bill Pay for the first time, but was overwhelmed by what was showing. I know the answer is that we need to set up a custom view/filter for them. My first thought was to utilize “Ready to Release” and “Scheduled” as the filters, but “Scheduled” does not change anything and still shows unscheduled but “Ready to Release” payments. Am I overthinking this process? Is there an easier way to see what’s actually been submitted and is ready to approve? Thanks!
Hi Austin! Is it possible they were looking at the Bill Pay Overview tab? This tab can sometimes be a bit overwhelming. If they just need to approve and release payments, I’d recommend checking the tabs at the top – specifically “For Approval” and “For Payment”.
- For Approval will show any items that require their explicit approval.
- For Payment will show everything that’s already been approved and is just waiting to be paid or released.
If they’d prefer a custom view, they can also filter by criteria such as date, status, $ amount, etc.

Hi Charlotte - thanks for the response. Unfortunately neither of those options seem to work in this case.
For Approval - as payment approver, 100+ items are in their “queue” as needing approval for payment .
For Payment - 100+ invoices are showing up here, and not just the ones that accounting has scheduled/initiated for our approver. Only a handful have been pushed.
I’ve tried a few custom views, but nothing will properly reduce the list to items initiated by accounting at this point.

Looping in my colleague Mary (@mlouisedubose), who’s a bit of a Bill Pay expert .
It sounds like your team imported bills in from Sage. When you do this, those invoices come through as already being created and approved, showing up in ‘For Payment’. All you do with these imported bills in Ramp is to pay them. Support article on this here.
If you go into the ‘For payment’ tab and apply a filter at the type for Bill Source → Imported via Sage Intacct you should see that this is the source of the majority of those bills. If you filter for Forwarded via email, uploaded invoice, manually created etc. it will only show you those that your Accounting team actually scheduled/initiated for approval in Ramp.
Overall, applying that filter should significantly reduce the noise your Payment Approver is seeing. Keep in mind that you still need to pay the other invoices to get them out of ‘For Payment’, but you can either do that in Ramp or in the ERP. The article linked above should help.
