Department Cards

Can we please have the option to issue a ‘department’ card, as opposed to individual cards? We have a couple of departments where, as a department, they make less than 5-10 purchases per week, but the person making the purchase changes, depending on the shift. Right now, we have no choice but to issue each member of the team an individual card. This uses up several of our seat licenses for less than 10 transactions per month.

As an example, our public safety office. They all drive shared vehicles during their shifts. Whoever is on shift when the vehicle needs fuel has to refill it. Because there is no way to know WHO will be on shift when this is needed, we’ve had to issue 10 different cards. That’s 10 seat licenses. Each person usually only ends up with 4-5 transaction PER MONTH. This just seems like such a waste. We could be using those licenses for people who legitimately need to make purchases much more often.

Hi Amanda! Thanks for sharing this. Quick question – have you tried setting up a shared fund for these folks? You’re describing a really common “shift-based” use case (public safety, fleet fuel, facilities, etc.).

We support shared funds so multiple people can spend from the same budget without passing around a single card or creating lots of separate budgets. Approved team members can spend from the same shared fund with policy controls and reporting all in one place.

Even if these users are set up as guest users in Ramp, they can still access the shared fund, so there’s no need to add them as licensed seats (if they can use virtual cards).

If the team is comfortable using their mobile wallets in these situations, and you want to avoid paying for infrequent users, a shared fund with these employees added as guests is likely a good fit.

Thanks for that, I had not considered that they could share funds and each have ‘virtual’ cards. I think that will work for some of our departments. We do still have at least one department though where a lot of the employeees aren’t…tech savvy…and don’t use mobile pay. :woman_facepalming::woman_shrugging: For these situations, it would be nice to have a single physical card that is shared within the department.
