There are times that an auto-approved transaction really should be sent to someone to be reviewed and approved.
Currently there is no way to change that.
Hi again, Stuart! If no specific policy is set up, transactions are auto-approved by default. If you want to add one, an admin or owner can create it in the company settings under transaction approval. You can read more about this here.
You could also set up policies that flag certain transactions if theyâre out of policy or need extra context. That way, only the ones that actually need attention get reviewed, while the low-risk stuff gets auto-approved.

That really doesnât address the issue at hand. We still have to review the transaction and mark it âreadyâ to sync. At that point we may spot an error in the transaction. We canât set the policy to catch all of these because we donât know in advance what the issue may be. Not related to a specific vendor etc. We use many many vendors . For the most part, there is no problem, but sometimes things need to be corrected and we need someone to review it before we sync the transaction.
The âexpense approvalâ policy is designed for managers, department owners, and other approvers to review transactions after they occur. You can configure it so that:
- all transactions require approval, or
- only those meeting certain conditions (e.g., above a dollar threshold, tied to a specific department, or within a merchant category like âairlinesâ).
If I understand correctly, it sounds like youâre referring to âmark ready to syncâ (which is in the Accounting tab). Once front-line approvers (managers) complete their review, the admin or finance team conducts a final check before syncing transactions to your ERP. At this stage, you can make any adjustments to the coding before the sync takes place.

I understand that - but not being able to reject or send it to someone to review when there is a question, means we have to go outside the system to get the information and then make the updates. We may not know the correct answer, only that what is there is wrong or needs more information. Itâs small $ amounts that get auto-approved - we do not want our managers to be reviewing every $10 charge. There are far too many transaction of small $ amounts for everything to be approved. Besides, âapprovingâ a credit card charge/purchase that has already been processed is a bit after-the-fact. Itâs not like they are approving it BEFORE the purchase - unlike in Bill Pay where if it is not approved, it canât get paid. CC charge automatically get paid - so it is more of an internal review than real approvals.
The expected Ramp behavior is that you should be able to reject any transaction at any stage. If thatâs not happening in your account, weâll want to look into it â itâs possible thereâs a bug or glitch. Your Account Manager (Ed) can help troubleshoot this with you live.
And yes, youâre exactly right â the review step is to confirm whether the transaction complies with company policy. Thatâs the action youâre âapproving.â
I have gone over that with them - that was why I was trying to submit a feature request so that auto-approved transactions could be rejected.
