To clarify, Ramp doesn’t provide fuel cards that are separate from our standard cards—but our platform is equipped to manage fuel expenses efficiently (and many of our customers use Ramp as their fuel card, consolidating systems and saving money).
Here’s how to leverage Ramp as a fuel card:

Many of our clients who manage fleets utilize Ramp by setting up specific spend programs for fuel. This spend program will make it easy to set restrictions at a high level and manage cards at scale. Some of these restrictions may be “fuel purchases only”, or requiring additional information.

Using the universal CSV or our ERP integrations, customers can create custom fields, then require these custom fields for fuel transactions

Custom fields can be configured to include crucial data like odometer readings, gallons purchased, or price per gallon. These fields help in gaining a comprehensive overview of fuel expenses.

How do I unlock those fields that are applicable to a fuel spend that we can incorporate into a new policies Transaction Requirements?
Hi Cecilia - happy Friday! You wouldn’t need to unlock the fields, but instead, you would manually add them as new accounting fields.
You would go to:
Accounting → Settings → Manage Accounting Fields → Add New Field → name it (ex: “gallons purchased”) & make sure it’s “text field” instead of single select
Within transaction requirements, you would make this a required field in the expense policies that you are attaching to the fuel-specific cards. In other words, create an expense policy titled something like “Fuel Cards” and make the “gallons purchased” accounting field a requirement for this policy.
From there, your employees whose cards are tied to this policy would be required to enter the # of gallons purchased on transactions (in the free line of text).

Hi, i was following this thread and wanted to try it out for our fleet. We have ramp integrated with xero for accounting and i can’t figure out how to add new fields in ramp? If that’s not possible bc of the integration i guess we add them in xero but they would only apply to a very low number of transactions in total so seems wasteful/confusing.

Hi Nick - apologies for the confusion, I tried again with our demo Xero account and you’re right - it can’t be done at this time. I just checked with my team to see if anyone has a workaround, and sounds like the only solution would be to add this information (gallons purchased, price per gallon, etc) as memos on the transactions. I’ll connect with you further over email & loop in your company’s Account Manager.
Do any customers using Xero have a different workaround? Would love to know!
