Receipts with incorrect amounts should not be auto-verified! (not IRS compliant)

After 5 months, we found out that receipts can be marked as auto-verified even if amounts don’t match. It is even documented by Ramp this way. (see screenshot below)

Date and Vendor I somewhat understand, those can diverge a bit and still be compliant (e.g. credit card transaction a few days after the receipt, vendor name on invoice and on credit card terminal data being different, etc.)

But different amounts is a serious issue. The IRS will never accept a receipt where the amounts don’t match. Putting a green “auto verified” next to such a receipt is really bad since it leads accounting and managers to not look in detail at the receipt.

A better solution:

  • still automatically match the receipt to the transactions
  • BUT instead of the green “auto-verified” make it a yellow “partially verified” and list which items were not verified properly
  • send an e-mail to the user that there is a potential issue with their receipt (user can turn on/off in notifications)

Agreed, this is important. I also have found it will auto verify transactions based on meta data and then store a blank receipt due to some email formatting issues. I found that one by accident and opened a case with support that they need to mark those differently than green check.

It would really be nice to get a response from Ramp about this. Especially the amount not matching is a huge issue and it keeps happening the Ramp even incorrectly matches receipts due to this and nobody is informed and it doesn’t get flagged in any way!

I completely understand why this would be a problem. In the past, we’ve found that amounts don’t always match the correct receipt in certain situations (i.e. tipping amounts not included or added on after), but there is definitely room to improve on how we handle this in the product. We’ll take a look at better ways of tackling it!
