Solution to get open bills into Quickbooks Desktop?

Are there any other users with Quickbooks Enterprise/Desktop? Ramp currently won’t synch Open bills to quickbooks desktop, so I am puzzled on how to get the open bills into Desktop while utilizing Ramp’s AP automation tools.

What I think can do is:

  1. Accrue/Reverse the open bills utilizing a CSV export of the “For Payment” screen. The drawback here is that I can’t get Accounting class from this view. I can get the accounting category, but not the class. I need the class for our departmental reporting. The other issue is that I would have to use Ramp as the Aging of record, and based on what I have seen the aging isn’t accurate.

  2. enter the bills in Quickbooks and then use Ramp to pay. While I can edit the IFF file to remove the bills from posting, this solution seems like it would just lead to huge reconciliation issues and duplicate expenses. It would also mean I need to enter bills twice-- once in Quickbooks and another time in Ramp.

I’m sure that someone out here has already developed a solution for Quickbooks or other CSV exports. Has anyone else came up with a solution?

Hi Jeremy! Thanks for your note. Other customers might have a more clever workaround (please chime in if you do :handshake: ) - but I’ll try my best to answer from the Ramp team.

There’s not currently a way to get the open bills in Desktop, so I do think #1 is your best option at this time. (To keep track of your open bills within Ramp, you can always look at your open bills by going to Bills → For Payment).

Hi Jeremy - we use QBD and have been using Ramp for a couple of months. During that time, we have struggled with how to incorporate Ramp into our workflow. The example you gave is one that we have dealt with, too. We chose your #2 - essentially using Ramp to route the bills for approval and pay them. We simultaneously enter the bills in QBD, too. When bills are paid in Ramp, we export the IIF to get them out of Ramp, but never import that IIF into QBD - we just used the regular bill pay process in QBD to reflect them as paid there (plus, I don’t like that the bill payment transaction from Ramp is a journal entry). This is manageable for us because the number of bills we pay by ACH is low. I can see how it would be difficult to manage at higher volume levels. For us, it’s worth the additional time because our previous method of obtaining vendor manager approval was by email and we are no longer entering/approving batches on the bank website for ACH payment. I know that doesn’t help you, but just wanted to offer our experiene.

Well James, they added the ability to add bills after approval now, so I guess this is resolved now.
