The holidays are here—Whether you’re hosting an executive retreat, planning an end-of-year onsite, or bringing everyone together for a festive holiday party, this season is all about connection. And when employees are traveling to join in the celebrations, the last thing you need is overspent travel budgets.

That’s where Ramp Travel steps in. Ramp makes coordinating end-of-year travel simple, seamless, and stress-free. From flights to hotels to rental cars, every detail is booked smoothly, so your team can get where they need to be. With streamlined workflows and centralized visibility, you can spend less time worrying about logistics and more time celebrating.

Let’s walk through everything you need to know to make holiday travel easy: delegate booking, guest booking, travel policies, traveler profiles, and more.

Delegate Booking: Empower Assistants to Book on Behalf of Others

If you have executive assistants or operations team members booking travel on behalf of leadership, Ramp’s Delegate Booking feature makes the process effortless.

Start by ensuring Ramp Travel is enabled for all employees, since delegate booking only works when companywide travel is active. Then navigate to Company → People, find the traveler who needs support, and open their profile. Select Edit Profile, scroll to the Delegate section, and add the employee who will act as their assistant.

Once added, the assistant can navigate to Home → New → Travel, switch the traveler selector at the top of the page to the person they support, and book travel just as they normally would. All reservations follow the traveler’s policy and approval rules, and completed trips appear in the traveler’s itinerary (never the assistant’s).

Keep in mind that this feature is different from guest booking: delegate booking is specifically for existing Ramp users, such as executives and staff members.

Guest Booking: For Travelers Outside Your Organization

If you’re hosting clients, contractors, speakers, or other external guests during the holiday season, Ramp makes it easy to book for them too.

Admins can enable guest booking by navigating to Travel → Manage → Ramp Travel Settings, then toggling on Guest Bookings for the appropriate users. Once enabled, bookers can go to Home → Travel and select Book for an external guest.

From there, simply search for flights or hotels as you normally would. When prompted, enter the guest’s full name and email address to ensure accurate reservation details. After reviewing your travel policy, submit for approval if required. Once booked, the guest receives the full itinerary directly via email. Only the original booker can modify the trip later, keeping everything organized and secure.

Customize Your Travel Policy for the Season

Ramp lets you tailor your company’s travel policy according to unique holiday needs.

To customize your guidelines, go to the Policies tab and scroll to the Travel section. Here, you can edit rules for flights, hotels, and rental cars, including:

  • Maximum leg price

  • Booking lead time

  • Allowed cabin classes

  • Hotel star ratings

  • Car rental class restrictions

For Ramp Plus customers, multiple travel policies can be created– perfect for setting up Executive versus Employee travel rules or giving specific teams expanded options for year-end events.

Traveler Profiles: Make Every Booking Faster and Easier

Every Ramp user can create a Traveler Profile to streamline their travel experience. To set yours up, click your profile picture in the top right, then open Traveler Profile.

From there:

  • Enter your full legal name, date of birth, and contact details (exactly as they appear on your government-issued ID).

  • Add loyalty numbers for airlines, hotels, and car rentals so that points and perks are applied automatically.

  • Input TSA PreCheck, Global Entry, or other Known Traveler IDs to speed up airport screening.

  • Set travel preferences such as seat type, meal options, or accommodation needs.

  • Confirm the correct Ramp card or funding source is available for travel purchases.

Once saved, your details and preferences will automatically populate for future bookings– making every trip smoother, faster, and easier.
