Syncing bill pay checks issued with NetSuite

We are in the process of implementing bill pay. But when paying by check. The check is mailed and the same day the money comes out of our bank account. But the sync to NetSuite does not happen until the check is cashed by the vendor. This makes it impossible to reconcile the bank statement in NetSuite, since per the bank, the transaction has happened, but per NetSuite it has not. Has anyone else had this issue, know how to fix or how to work around?

I understand how important it is to have your bank reconciliation process run smoothly. Here’s a workaround that might help:

  1. When you issue a check through Ramp, the funds are withdrawn from your bank account, and this is when you’ll see the transaction on your bank statement.

  2. In NetSuite, you can manually create a record of the check payment when it’s issued, which will reflect the bank account debit.

  3. Once the check is cashed by the vendor, Ramp will sync the transaction to NetSuite, and you can match it with the manual entry you’ve created.

This way, your bank statement and NetSuite records will align, even before the check is cashed by the vendor. Just ensure that when the sync occurs, you don’t end up with duplicate transactions in NetSuite:
