Two Way Vendor Sync

Hi all!

My organization just turned on Ramp beta and we are doing some research on two-way vendor sync. We love the potential with this feature! Our ERP is QuickBooks Online (QBO) and currently we enter vendor information in both places, so the ability to have the two stay in sync would be invaluable. But I have a few questions before we go ahead and turn it on.

  1. The documentation talks a lot about avoiding the creation of duplicate profiles. If we go ahead and turn on two-way vendor sync and matches between Ramp and QBO are found, if the data in the fields that map to one another are not a 100% match, which data is preserved? The data from QBO or the data from Ramp? For some of our vendors they have the same name in both platforms, but we have their ACH information in Ramp but not QBO. We want to ensure that this ACH information will not be overwritten.
  2. The documentation states, " If an ERP vendor is explicitly linked to a Ramp vendor, no new vendor will be created." Is “explicitly linked” referring to vendors which have been created in Ramp and created in QBO at the same time? If not, what does “explicitly linked” mean?
  3. For many of the ACH fields that map between Ramp and QBO they are listed as “Available, but not exposed via API”. If we approached our vendor management using the flow of - 1. enter all vendor info into QBO including ACH routing and account numbers 2. allow it then to flow over to Ramp - would we be able to access that ACH information in Ramp without having to enter it directly in Ramp? More generally, does the quoted statement above simply mean that the numbers will be redacted in QBO as they usually are?
  4. Does anyone at Ramp expect that the ability to map custom fields between Ramp and QBO will be available sometime in the future?

Hi Devon! I’ll chime in from the Ramp team - long answer incoming :laughing:

  1. When using the two-way vendor sync between Ramp and QBO, the latest update is generally treated as the source of truth. However, there are “vendor controls” that ensure that this information is not overwritten without approval. Therefore, your ACH information in Ramp should not be automatically overwritten by QBO data unless you approve such changes.

  2. Yes - “explicitly linked” refers to a situation where a vendor in Ramp is directly associated with a vendor in QBO through a specific link or identifier, not just by having been created in both systems independently.

  3. The statement “Available, but not exposed via API” means that while the ACH routing and account numbers are present in QBO, they are not accessible through the API for automatic syncing to Ramp. Therefore, if you enter ACH information into QBO, it will not automatically flow over to Ramp due to these API limitations. You would need to enter this information directly into Ramp to have it available there

  4. Not that I’m aware of at this time, but I’ll submit the feedback to our product team!
